MP4 conversion and duplication are different requests
Access Scanning says it can digitize VHS, DVDs and other formats to MP4, with other output formats available. It separately lists Video VHS Duplicating and DVD Duplicating. When making an inquiry, specify that you want digital files if that is your aim. A duplicated tape or disc and a file you can open on a computer serve different purposes.
The website also names DVC Pro to Digital and BetaCam into Digital. If your collection mixes home tapes with unfamiliar recordings, read each label carefully and send a format inventory before bringing everything in. Do not assume that a cassette with a similar shape is covered by the same service. Ask the business to confirm each format and the output it can provide.
Plan the Encino handoff before leaving home
The website gives 16001 Ventura Blvd Suite #115, Encino, CA 91436, and lists Monday through Friday hours of 8:00 AM to 4:00 PM. Its visit instructions say to call before dropping by, specify street parking only, and give 115# as the building call box entry. Make the call before setting off with a collection, particularly if you need help confirming a format.
For a useful quote, describe the number of tapes, their labels, any known running times and visible condition. Ask how the price is calculated, what delivery method is included, the expected completion date and how originals are returned. Agree on those details for your particular job. A written inventory can then accompany the tapes and give both sides a clear record of the handoff.
Prepare labels that relatives will recognize
Give each tape a simple identifier, such as Tape 01, and photograph the existing label before adding a removable note. Record what you know without turning a guess into a certainty. A label reading Christmas may cover several years; an approximate date is more useful than a confident but incorrect one.
Ask a relative to help identify names, places and occasions while the physical labels are still available. Keep uncertain identifications in your notes for later discussion. If a cassette is cracked, damp or shows suspicious residue, describe it to the provider before transport or playback. Ask whether it can be assessed and whether any additional work is possible; do not try to force a jammed tape to run.
Choose video files separately from photo scans
MP4 is the stated video output. Access Scanning also publishes JPEG, TIFF, PDF, PSD and JP2 options on its photo scanning page. Those are photo scanning details, so discuss photograph requirements separately from the video conversion. If you are bringing both, keep their inventories distinct and agree on how the resulting files will be named.
For video, ask for a delivery method you can actually use with your computer and intended family devices. Clarify whether one tape becomes one file, whether blank stretches are included and whether you can request another output format. These are choices to settle with the business, rather than assumptions to make from the MP4 listing.
Check the recordings before storing the originals
Open every returned file and compare it with your tape inventory. Sample the beginning, middle and end, listening as well as watching. Check for missing material, unexpected silence and files that stop early, then raise any questions while you can still identify the relevant cassette.
Keep the original tapes and retain a separate backup of the digital files. Use descriptive filenames that preserve the tape identifier, and avoid overwriting your first copy when making edits or shorter clips. A family archive is easier to maintain when you can trace a favorite scene back to its full recording.
Build a private family archive after conversion
Memrial is a separate private family archive for digital photos and home videos after conversion. It does not convert physical tapes or form part of Access Scanning. The free plan includes 2.0 GB of storage shared across the archive, with no card needed. Invite relatives, organize albums and add comments or stories that explain the recordings.
Timeline accepts exact or approximate dates, helping relatives find memories by year. Live Watch Parties synchronize an uploaded home video through host play, pause and seek controls, with voice and text chat for relatives nearby or far away. The free allowance is three hours monthly with up to six participants.
For a family anniversary, Event Memories provides a secure occasion contribution link. Contributors sign in but do not need archive membership; their photos and videos collect in the event album. Closing the link keeps the memories already gathered.
