One collection, several kinds of tape
Active Imagination lists VHS, Super VHS, Hi8 in digital and analog forms, miniDV and Betamax among the tape formats it can transfer. It explicitly says it does not transfer reels. That distinction is useful if your family has both camcorder cassettes and older reels: separate them before describing the job, rather than assuming everything can go through the same service.
Read the markings on each cassette and make a simple inventory. Give every tape a temporary number and record whatever its label says, even if the writing is incomplete. A photograph of the cassette and case can help preserve the original clues. If a format is unclear, ask the business to identify it before making arrangements. Mention cracked shells, mold or a tape that previously jammed, and ask whether it can be assessed; the published format list does not establish a repair service.
Plan the drop-off around labels and timing
Drop-off is by appointment only. Active Imagination says most average-sized projects take 1-2 weeks, so treat that as its stated expectation for that category, rather than a guaranteed deadline for every collection. Describe the number of tapes and any time-sensitive occasion when arranging the appointment, and ask for the expected completion date for your particular job.
The business says it uses information on the tapes to label the video files as well as it can. Unlabeled recordings become Tape A, Tape B and so on, and the filenames can later be changed on a computer. Your inventory can bridge that gap. Keep original label wording separate from guesses about the contents, and provide a clear note if you recognize a birthday, school performance or holiday. A relative may remember a year that is missing from the cassette.
Understand the minimum and the drive decision
The published tape-transfer details state a $25 project minimum and thumb drives costing $8-$20 depending on the required data size. They also show minute bands of 1-250, 251-500 and 501-1500 minutes, but those bands alone do not establish the transfer rate. Ask for a quote that explains how recorded minutes are counted and what the total includes, including any applicable tax.
You can provide your own drive after consulting Active Imagination about size, or buy one from the business. Choose between those options before drop-off. For a supplied drive, discuss capacity and whether anything already stored on it needs to be removed. Keep a separate copy of existing files before handing over storage. This is a precaution for your own data, not a statement about the provider’s handling policy.
Use the MP4 delivery as a starting point
Active Imagination says you receive MP4 files on the drive, compatible with most modern devices and smart TVs. That makes the published output clear, but it is still sensible to describe the device you expect to use and ask how you will play the files there. If you want further editing or a particular arrangement of recordings, discuss that before the job begins.
When the files come back, compare them with your inventory. Open each one, check the beginning, middle and end, and listen for audio as well as watching the picture. Confirm that recognizable events are present before reorganizing filenames. Keep the original tapes and make a second digital copy on separate storage. A delivery drive is convenient for transport, but relying on a single copy leaves the collection vulnerable if that drive fails.
Let relatives help put the dates back
After conversion, Memrial can provide a separate private family archive for the digital memories. It does not convert tapes and is not part of Active Imagination. You can invite relatives, organize photos and home videos into albums, and add comments and stories. The free allowance is 2.0 GB shared across the archive, with no card needed; consider file sizes when choosing what to upload first.
Timeline accepts exact or approximate dates, helping you find memories by year even when nobody remembers the precise day. For a family reunion, an old recording might prompt someone to identify the people and narrow down the date. Live Watch Parties synchronize an uploaded home video with host play, pause and seek controls plus voice and text chat, so relatives nearby or far away can watch together. Free Watch Parties allow 3 hours per month and up to 6 participants.
For new reunion memories, Event Memories provides a secure occasion contribution link. Contributors sign in but do not need archive membership, and their photos and videos collect in the event album. Closing the link keeps the collected memories. It is a simple way to place today’s contributions alongside the older recordings without losing the stories that explain either.
