An hourly starting price needs a running-time estimate
Astera's VHS page states that conversion begins at $39.99 per hour. This is a starting hourly price, so counting cassettes alone will not give you a reliable total. A tape labeled with a short birthday party may contain additional recordings, blank stretches or several events recorded over time. Ask how chargeable duration is measured and whether partially used hours have a minimum charge.
The same page describes customized quotes tailored to the customer's needs. Send a simple inventory with tape quantities, format labels and any known running times. Explain whether you want the complete recordings or selected material, then ask for the total including your chosen delivery method and any applicable charges. Keep uncertain durations marked as estimates instead of presenting them as measured lengths.
Plan around an appointment and a confirmed deadline
Astera publishes drop-off and pickup by appointment. Its VHS page says most projects are completed in 24 hours, while larger projects may take up to 48 hours. Treat those descriptions as a starting point for planning and confirm the completion time when arranging your appointment, particularly if you have a collection of long recordings.
The video transfer page also advertises same-day emergency work at an additional rate. If a reunion or birthday is approaching, ask whether that option is available for your order and what the extra rate would be before committing. Leave yourself time after collection to open the files, test playback and prepare the particular clip you want everyone to see.
Keep mixed tape formats separate from film reels
Astera's transfer page lists VHS, Hi8, Beta SP, 3/4 inch and Betamax alongside other media, including 8 mm, Super 8 and 16 mm film, plus photos and slides. This is useful if a family's recordings span several types of equipment. However, a small videotape and a film reel are different materials, even when both carry an 8 mm label. Describe each item separately when requesting a quote.
Photograph the labels and give each cassette or reel a simple inventory number. Note any cracked cases, loose tape, visible contamination or playback problems without trying to repair the item yourself. Ask whether Astera can assess those particular issues and how that would affect the order. Keep handwritten dates and names with the inventory, since relatives may recognize people or occasions that the labels do not explain.
Choose the result you can actually use
Astera describes collecting both the original tapes and new digital copies, and its transfer page includes video-to-DVD services. Discuss the output before handing anything over: a disc for a relative's player and a file for a family archive serve different purposes. Ask which file formats are available, how they are delivered and whether the quoted price covers that choice. Do not assume a disc alone includes an easily uploadable video file.
At collection, reconcile the returned originals against your inventory. Play the beginning, middle and end of each digital recording, check that sound is present where expected, and confirm that important scenes have been captured. Save an untouched copy of the delivered files before making shorter clips. Keep another backup on separate storage and retain the tapes; a successful first playback should not be your only safeguard.
Turn a quick transfer into a shared family occasion
After conversion, Memrial offers a separate private family archive for digital photos and home videos. It does not convert physical tapes and is not part of Astera's service. The free allowance is 2.0 GB shared across an archive, with no card needed. Check your video sizes before deciding which recordings to upload, and invite relatives to help add names and stories.
Timeline accepts exact or approximate dates, so a recording remembered only as a summer in the early 1990s can still be placed where the family can find it by year. Live Watch Parties synchronize an uploaded home video for relatives near or far, with host play, pause and seek controls plus voice and text chat. Free Watch Parties allow 3 hours per month and up to 6 participants.
For a reunion, Event Memories provides a secure occasion contribution link. Contributors sign in but do not need archive membership, and their photos and videos go into the event album. Closing the link keeps the memories already collected. That gives the newly converted footage a place alongside fresh photographs from the gathering, while your separate backups preserve the original delivered files.
