Separate the reels from the camcorder tapes
Excelsior’s website confirms VHS transfer to DVD or computer video files, with miniDV tape also mentioned as an editing output. Its published format lists include VHS-C as well. That matters when a collection contains the small cassettes from a family camcorder alongside full-sized VHS recordings: describe each type when requesting a quote, rather than grouping everything under “video”.
The distinction between 8mm film and 8mm video is especially useful here. Excelsior handles both, but reels and cassettes follow different pricing structures. Make a simple inventory with a number, the label wording and an estimated recording date for each item. Photograph the labels before handing anything over. If a cassette has a cracked case, visible mould or a history of jamming, ask whether it can be assessed before attempting playback yourself.
Budget for recorded time and the job minimum
For video tapes to DVD, the published price is £10.00 for the first half hour of each tape, followed by £5.00 for each additional half-hour unit on that tape. There is a minimum charge of £30.00 for a complete transfer job. A tape lasting up to half an hour therefore has a listed transfer price of £10.00, but a small order still needs to meet the job minimum.
These are tape-to-DVD figures, so request a separate total if you want computer files, several output copies or editing. Confirm how partial half-hour units are counted and whether the quoted total includes any applicable tax, media and postage. Cassette capacity is not necessarily recorded duration: a tape marked for three hours might contain only a short birthday recording. Give your best estimate and ask how the final charge is determined.
Choose the output around who will use it
Excelsior says DVD is its most common tape conversion, while files are available for editing old camcorder footage on a computer. For cine film, it specifically publishes DVD, AVI or QuickTime files on your USB drive, and ProRes 422 HD Quality files for customers with higher-end editing facilities. Those cine options should not be treated as an automatic specification for your VHS order; agree the tape file format directly.
Think about the least technical person who will watch the result. A disc is useful only if they still have a suitable player. For files, ask about playback on their computer or television, file sizes and whether a smaller viewing copy can accompany an editing copy. Once the conversion arrives, check the beginning, middle and end of every recording, listen to the sound and compare filenames against your inventory before putting the originals away.
Arrange the handover before travelling
Personal callers are accepted by appointment only. The website advertises telephone access to a film technician from 8am to 8pm, seven days a week; that is a contact window, not permission to arrive without booking. It also describes mail order and a local collection and delivery service, with full UK coverage stated on its camcorder transfer page. Ask which handover method suits your order and whether your address falls within the local service.
The VHS service page says work is done at the provider’s premises without subcontracting, and mentions a same-day option if required. Confirm availability and a completion date for your particular collection before planning a family screening. For posted material, agree packaging and return arrangements, keep your inventory, and check the carrier’s current tracking and compensation terms.
Let relatives help date the finished recordings
After conversion, Memrial offers a separate private family archive for digital memories. It does not convert tapes or form part of Excelsior’s transfer service. You can upload compatible photos and home videos, organise albums and invite relatives to add comments and stories. The free allowance is 2.0 GB shared across the archive, with no card needed; check the size of your converted files before choosing what to upload.
A recording labelled “summer holiday” may become much easier to find once someone recognises the year. Memrial’s Timeline accepts exact or approximate dates, helping the family locate memories by year even when the original labels are incomplete. Keep the returned conversion files in a separate backup as well, and retain the physical originals.
For a family anniversary, a Live Watch Party can synchronise an uploaded home video while the host controls play, pause and seek, with voice and text chat for relatives near or far. Free Watch Parties include 3 hours per month and up to 6 participants. Event Memories provides a secure occasion contribution link: contributors sign in but need no archive membership, their uploads collect in the event album, and closing the link keeps the memories already gathered.
