VHS and smaller camcorder tapes in the same collection
CreativeIO's published video list includes VHS, VHS-C, Hi-8, video and digital 8, mini DV and HDV. It also names SD card, USB and hard drive camcorders. This breadth is relevant when a family's recordings changed format over time: the cassette used for an early birthday may be quite different from the one used for a later school performance.
Read the markings on each cassette rather than guessing from its size. Make a simple inventory with a number, the printed format and anything written on the label. Where the label is missing, record that uncertainty. Keep cine reels separate from video cassettes: CreativeIO lists 8mm, standard 8 and super 8 cine film, but those are film-transfer services, not additional types of VHS. Its slide and photograph scanning service may also be relevant if you want still pictures to accompany the recordings.
Choose the MP4 files you will actually use
The published transfer details identify MP4 digital video files, with delivery options including USB sticks, hard drives, memory cards, cloud delivery and DVDs. Think about where your family will watch the recordings before choosing a carrier. A USB stick is a way to receive files; it need not be their permanent home. An online delivery should likewise be copied into storage you control.
If you want a DVD, ask whether it contains digital files or is intended for playback in a DVD player. Also explain whether you would prefer a complete recording per tape or separate files for individual occasions, and ask what is possible. These are choices to discuss, not assumptions about what the service includes. For future uploading and sharing, retain the original delivered MP4 files even if you later make smaller copies for everyday viewing.
Build a clear brief before handing anything over
The format list and delivery options establish what to enquire about, but they do not establish a price or completion date for your particular collection. Request a written quotation covering the tape count, any known running times, chosen output, storage media and any additional charges or tax. Ask how unrecorded sections and partly recorded tapes affect the quote, and agree how the originals will be returned.
Photograph labels and give each item a matching number in your inventory. Do not open a cassette or attempt to clean its internal tape. If you notice mould, a damaged shell or tangled tape, describe it before arranging transfer and ask whether the item can be assessed. CreativeIO publishes an address in Barrow upon Soar; confirm the handover arrangements directly before travelling with your collection.
Check the results while the labels are still to hand
Once you receive digital files, compare them with your inventory. Open each file, check that sound plays, and sample the beginning, middle and end. Note any missing section or playback problem with the filename and approximate point in the recording so you can describe it clearly. Keep the tapes and other originals while you resolve questions about the transfer.
Ask relatives to help identify people and occasions after this first check. A pencilled label saying 'summer' may be enough to recognise a holiday, but it is not necessarily an exact date. Keep that distinction in your notes. Make a second copy of the delivered files in a separate place before renaming or editing your working copies.
Let relatives add the dates and stories in Memrial
After conversion, Memrial provides a separate private family archive for digital photos and home videos. It does not convert tapes and is not part of CreativeIO's transfer service. You can invite relatives, organise albums and add comments or stories that explain what a recording means to the family.
Timeline accepts exact or approximate dates, helping you find memories by year without inventing a date nobody remembers. A family anniversary could be a good reason to revisit the converted videos together. Live Watch Parties synchronise an uploaded home video, with the host controlling play, pause and seek while relatives nearby or far away use voice and text chat. The free allowance is 3 hours per month with up to 6 participants. Free signup needs no card and includes 2.0 GB of storage shared across the archive; check file sizes when deciding what to upload first.
Bring new anniversary memories alongside the old ones
Memrial's Event Memories can gather new photos and videos around an occasion through a secure contribution link. Contributors sign in, but do not need archive membership, and their uploads collect in the event album. Closing the link keeps the memories already contributed. For an anniversary gathering, this gives relatives a place to add today's pictures while the converted recordings supply the older family context. Keep your independent backup of the transfer files as well.
