Read the VHS rate alongside the minimum charge
Crystal Media lists VHS and Betamax transfers at €30 per hour of video, with a minimum order charge of €50. That hourly basis matters when a cassette contains several recordings or only a short clip. Ask how recorded time is measured, how partial hours are billed and whether blank stretches affect the quote. The published rate does not settle those details.
The camcorder listings use different units: 60min Video8 / Hi8 tapes are €30 per tape and 90min Video8 / Hi8 tapes are €45 per tape. MiniDV / Digital 8 tapes are €30 per tape. Each of these listings states a €50 minimum order charge. Before booking, confirm the total for your particular mix, any storage charges, tax treatment and the expected completion date.
An appointment with a clear inventory
Crystal Media asks customers to contact it for an appointment. Its contact page gives Unit A9 Network Enterprise Park, Kilcoole, Greystones, Co. Wicklow, A63 YY91, Ireland, and telephone +353 (0) 1 2312805. Arrange the handover before travelling, particularly if you want to discuss several formats together.
Give each cassette a simple reference number and photograph its existing label. Make a list with the format, any handwritten date and what you believe is recorded. Keep uncertain descriptions honest: a note such as summer holiday, possibly the late nineties is more useful than a confident guess. If a shell is cracked, tape is loose or mould is visible, describe that condition and ask whether it can be assessed. Avoid playing suspect tapes or attempting repairs yourself.
USB delivery starts with the screen you use
The video transfer page says converted digital video files can be stored on a USB connected flash drive or hard drive. You can supply your own or purchase one from Crystal Media with capacity suited to the files. It describes playback on a SMART TV, PC or MAC. A USB drive is therefore a stated delivery option, but the exact video file format still deserves a question.
Tell the provider where you intend to watch the recordings. Ask which file type and settings will suit that television or computer, how much space the collection needs, and whether files will be separated by cassette. Request filenames that match your inventory. If you want to upload videos to a family archive later, check that the delivered files are suitable before deciding on storage.
Keep film and audio separate in the quote
Crystal Media also publishes cine scanning for 8mm or 16mm silent film. A 50ft spool is listed at €25 and a 100ft spool at €50, with a minimum order charge of €60 stated for both. These are film prices, not VHS rates, so keep reels on a separate inventory when discussing the work.
For audio, its published rate for 4 track 1/4 inch reel to reel is €45 per hour of audio, with other open reel formats requiring a pricing enquiry. The audio page lists Audio-CD, MP3, WAV and AIFF as digital outputs. Those audio options should not be assumed to describe video delivery. A mixed collection is easier to budget when each medium has its own agreed scope.
Review a transfer before putting it away
When the files arrive, compare them with your inventory and sample the beginning, middle and end of each recording. Check sound, picture and any moments you particularly wanted saved. Note an issue with the filename and playback time so you can explain it clearly. Keep the original tapes and labels while you review the results.
Make another copy on a separate storage device rather than relying on one USB drive. Invite a relative to help identify people and occasions; their recollection may explain an otherwise anonymous scene. Preserve uncertain dates as approximate and retain the untouched delivered files alongside any versions you edit for sharing.
From USB files to a private family archive
Memrial is a separate private family archive for digital memories after conversion. It does not convert physical tapes. Its free plan includes 2.0 GB of shared archive storage with no card needed. You can invite relatives, organise photos and home videos into albums, and add comments and stories. Timeline uses exact or approximate dates to help you find memories by year.
A family birthday could be a reason to revisit a newly transferred recording together. Live Watch Parties synchronise an uploaded home video, with the host controlling play, pause and seek, plus voice and text chat for relatives nearby or far away. Free Watch Parties include 3 hours per month and up to 6 participants.
Event Memories offers a secure occasion contribution link for collecting photos and videos in an event album. Contributors sign in but do not need archive membership. Closing the link retains the memories already collected, so the birthday album can remain useful after the celebration ends.
