Match the collection to DW Video's format list
DW Video's published transfer list includes Mini DV, Hi-8, Digital 8mm and 8mm video, as well as Betamax, Betacam and 3/4 inch U-matic. It also names DVCPro, DVCAM, HDV-MiniDV, Mini DVD, DVD and LaserDisc. For someone sorting recordings made on successive family cameras, that breadth gives a concrete starting point for a conversation about the whole collection.
Film reels need their own description. The business separately advertises transfers of 8mm, Super 8mm and 16mm film to DVD. An 8mm video cassette and an 8mm film reel are different media, despite the similar names. Make separate groups, record the labels you can read, and photograph anything unidentified. Avoid forcing an unfamiliar cassette into a player simply to discover what it contains.
Build a useful appointment and quote request
The video transfer page says projects are custom quoted based on what you have and asks customers to call to set an appointment. The website also invites calls or texts to Duane. Prepare a count by format, note any known recording lengths, and explain whether this is a small selection or an entire family collection. Ask for the quote's inclusions, any additional charges and the agreed delivery method before leaving the media.
Label each item with a simple number and keep a matching inventory. You can add possible dates and names without guessing too confidently: 'summer trip, probably early nineties' is more useful than an invented exact date. Flag broken cases, tangled tape or signs of mold when you make contact, and ask whether inspection or repair is possible. Do not attempt to clean or play a visibly damaged tape before getting advice.
Choose delivery around the way you will watch
DW Video describes digital delivery on a USB drive, DVD or through secure download, depending on preference. Its process also says customers pick up their original media and new digital copies from the lab. Clarify how collection works for your chosen delivery option, particularly if you prefer a download.
For future uploads and everyday viewing, ask what downloadable video file type you will receive and whether it plays on your devices. If DVD is your preferred viewing copy, ask about receiving digital files as well. Decide whether you want separate files for each tape or another arrangement, and confirm what the quote covers. Those choices are worth settling before conversion so the finished collection is easy to identify and share.
Allow time for transfer and a first viewing
The website gives an approximate turnaround of 1-2 weeks for typical smaller projects, such as a few VHS tapes or film reels. Volume, media condition and the current queue affect timing; larger collections take longer, with an estimated completion date provided during consultation. Expedited service is something to ask about for an urgent deadline, rather than a guaranteed option.
If the recordings are intended for an anniversary gathering, leave time to check them before the occasion. Compare the returned items with your inventory and sample the beginning, middle and end of each file. Check that picture and sound play, and note any unexpected gaps for discussion with the converter. Keep the originals and create an additional backup of the digital files before distributing copies to relatives.
Let relatives supply the missing dates and stories
Once conversion is complete, Memrial provides a separate private family archive for the digital memories. It does not convert physical tapes and is not part of DW Video's transfer service. Its free plan includes 2.0 GB of storage shared across the archive, with no card needed. Check your files' combined size before deciding how much of the collection to upload.
Invite relatives to help identify people and occasions. Timeline accepts exact or approximate dates, making it easier to find recordings by year even when a tape label is vague. A Live Watch Party synchronizes an uploaded home video, with the host controlling play, pause and seek and relatives using voice or text chat nearby or far away. The free allowance is 3 hours per month with up to 6 participants.
For an anniversary celebration, Event Memories offers a secure occasion contribution link. Contributors sign in but do not need archive membership; their photos and videos collect in the event album. Closing the link retains those memories. Together with the converted footage, these contributions can add names, context and newer perspectives to a family's record.
