Read the VHS price bands before counting tapes
The published VHS rates are $15 per tape for 0 - 2 hours, $30 per tape for 2 - 4 hours, and $45 per tape for 4 - 6 hours. Discounts are available when you bring in 10+ tapes, although the discount amount is not specified. These figures belong to the VHS service; film reels and audio recordings have their own pricing.
Treat those bands as a starting point for a quote. If a recording sits exactly on a boundary, ask which rate applies. A cassette's capacity does not necessarily tell you its recorded length. Make a numbered inventory with the label text and any known duration, then ask about the total cost, taxes, output choices and expected completion date before handing over the collection.
Separate the camcorder tapes from the film reels
Easy Video Transfer also lists Hi8, Digital 8, Video8, Mini-DV, MiniMV and Betacam. Its wider media list includes 8mm and Super 8mm film reels, 16mm film reels, audio cassettes, reel-to-reel audio, 35mm slides, photos and prints. A mixed family collection therefore has several relevant services to ask about, rather than one uniform VHS job.
Keep each format grouped separately and photograph the labels before delivery. In particular, an 8mm film reel and a Video8 cassette need different treatment. Ask relatives to identify unfamiliar items without playing them repeatedly. If a cassette has a cracked shell, loose tape or visible mold, describe the problem to the business and ask whether it can be accepted; do not assume repair is included.
Choose whether you want a transfer or an edited story
The business lists cutting or minor video edits at $10, with examples including adding an introduction or removing a section. Major video edits are listed at $45 per hour, including assembling a new video from several digitized videos. Light background music is listed at $20, and an extra duplicated DVD copy at $10.
A birthday compilation and a complete preservation copy serve different purposes. Before requesting edits, decide which version you want to keep long term. Write down the scenes to include or remove and ask how the work will be quoted. Original voices and background sounds can matter as much as the picture, so consider whether added music suits the recording.
Make a plan for the 30-day download link
Easy Video Transfer advertises digital downloads and says the secure link remains available for 30 days after an order is completed. That is a download-access window, not a promised processing time. Put a reminder in your calendar when the completed order arrives, and ask which file type you will receive and how it works on your intended devices.
Save the files promptly, then check the beginning, middle and end of each recording for picture, sound and completeness. Match them against your tape inventory. Keep an untouched copy and a separate backup before renaming or editing anything. Retain the physical originals, and agree how they will be returned when arranging the order.
Let relatives help identify what the labels missed
Once the recordings are accessible, invite family members to help with names, places and dates. Someone may recognize a school performance from a uniform or remember which summer a cousin visited. Record uncertainty honestly: an approximate year is more useful than an invented exact date. Keep the tape number alongside the description so that the digital file still connects to its original.
Memrial is a separate private family archive for digital memories after conversion. It does not convert tapes and is not part of Easy Video Transfer. Its Timeline accepts exact or approximate dates, helping relatives find memories by year. Albums, comments and stories give those newly identified details a place beside the photos and home videos.
Watch together, then add the next occasion
Memrial's Live Watch Parties synchronize an uploaded home video, with the host controlling play, pause and seek. Relatives nearby or far away can join voice and text chat. The free allowance is 3 hours per month with up to 6 participants. A shared viewing of an old graduation could help everyone remember who appears in the footage.
For a new reunion, Event Memories provides a secure occasion contribution link. Contributors sign in but do not need archive membership; their photos and videos collect in the event album. Closing the link keeps the memories already added. Memrial includes 2.0 GB of free storage shared across the archive, with no card needed. Keep a separate backup as you bring converted and newly recorded memories together.
