Match each recording to the right transfer category
Flashback lists Betamax at $29.95 each, U-Matic at $39.95 each and PAL/SECAM VHS at $39.95 each. If you have VHS recorded abroad, mention that when requesting a quote. A cassette label alone may not tell you which recording system was used, so include whatever you know about the camera or country of origin.
Its services also extend to 8mm, Super 8mm and 16mm film, audio recordings, slides and negatives. Keep those materials in separate groups when describing a mixed collection. A film reel measured in feet has a different charging basis from a videotape, and a slide-scanning rate should not be used to estimate video costs.
Read the tape price alongside the digital extras
The video-transfer page publishes tape tiers of $19.95 each for 1-5 tapes, $17.95 each for 6-15 tapes and $14.95 each for 16 or more tapes. It also lists an additional Video to MP4 Digital Surcharge of $7.50 each. Ask which tier applies to your cassette formats and how that surcharge enters the total, particularly if your collection includes the separately priced formats.
A DVD version add-on is listed at $10.00 each. Digital download pricing is $0.50 per 1GB increment of data, with a $4.95 minimum charge per project. USB flash drives are separate purchases. Request a complete estimate covering transfer, chosen delivery method, any add-ons and applicable tax before committing. The published figures are useful for discussing a project, but they do not establish every collection's final bill.
Prepare for a River Falls handover
The website describes self-service drop-off or appointments. Its published hours are Monday 11am-6pm, Tuesday through Friday 10am-6pm and Saturday 10am-3pm, with Sunday closed. Confirm the handover arrangement before traveling, especially if you want to discuss a complicated collection in person. Flashback says valuables receive personal attention and never leave its possession; ask how your originals will be identified and returned.
Make a simple inventory with one number per tape and photograph existing labels. Add a short note for anything fragile, broken or visibly moldy rather than trying to play or repair it yourself. Videotape splicing is listed as free with transfer, but that does not establish that every damaged recording can be recovered. Describe the problem and ask what can be assessed before authorizing work.
Act on the download before the 30-day deletion
Flashback's download terms say the link is emailed once payment is received and folders and files are deleted after 30 days. Arrange time to download promptly, and ask when that period begins for your order. That deletion window concerns delivered files; it is not a promise about how quickly conversion will be completed.
Once you receive the files, check each against your tape inventory. Play the beginning, middle and end, listen for sound and note unexpected gaps. Preserve the delivered files before creating shorter versions or changing names. Keep another copy on separate storage, and retain the original tapes. Invite a relative to help identify people and occasions while the footage is fresh in everyone's mind.
Let the MP4 files become a shared family record
After conversion, Memrial can serve as a separate private family archive for the digital memories. It does not convert tapes and is not part of Flashback. Its free allowance is 2.0 GB shared across the archive, with no card needed. Check file sizes before choosing how much footage to upload, and keep your own backups.
Use albums to group recordings, then add exact or approximate dates to Timeline so relatives can find memories by year. An uncertain summer vacation can still sit in the right period without inventing a precise date. Invite relatives to contribute comments and stories, including names that a handwritten tape label never recorded.
Watch together, then collect the next occasion
A Memrial Live Watch Party synchronizes an uploaded home video, with the host controlling play, pause and seek while relatives near or far use voice and text chat. The free plan includes 3 monthly hours and up to 6 participants. A birthday recording could prompt a family conversation without everyone arranging the same playback point themselves.
For a new reunion, Event Memories provides a secure occasion contribution link. Contributors sign in but do not need archive membership to add photos or videos. Uploads collect in the event album, and closing the link retains the memories. This gives the family a practical way to add today's recordings alongside those recovered from older media.
