One enquiry for VHS and the camcorder years
The provider lists VHS, VHS-C, Video8, Hi8, Digital8, DV and Mini DV among the video formats and standards it works with. Media cards and mobile phones appear in that list too. If the recordings span different generations of family cameras, make an inventory by format rather than assuming every small cassette is the same. Write down the markings on the case or cassette, and leave uncertain entries labelled as unknown.
A useful first message might describe the number of each tape type, any handwritten dates and the recordings you most want to recover. Photograph unclear labels if that helps explain the collection. Ask about a cracked shell, visible contamination or a tape that previously jammed before attempting to play it. The format list establishes supported media, but it does not establish a repair or restoration service for damaged tapes.
Collection in CT21/20 or a postal handover
The published free local collection and delivery offer specifies Kent CT21/20 postcodes. For a Hythe enquiry, give your postcode and arrange the handover directly rather than treating the listing address as a confirmed drop-off point. If posting is more suitable, the provider asks you to email first and says it will reply with a postal address. Its website suggests recorded delivery.
Keep a simple numbered list of everything you hand over, with matching removable labels on the cases. Protect the tapes against movement in the parcel and keep a copy of the inventory. These are sensible preparation steps, rather than stated provider requirements. The website says original tapes can be returned in the same way if you want them back, so make that request when agreeing the order and establish any return-postage arrangements.
Agree the quote before the £20 deposit
The provider's transfer instructions say work can begin after pricing is approved and require a £20 deposit before transfer work starts. A payment link is sent for that deposit. This is a payment condition, not a published total price for converting a VHS tape. Ask for a quote covering your actual collection and the output you want, including any additional charges and applicable tax treatment.
Cine reel film transfer is separately described as quoted on request. If reels accompany your tapes, list them separately so the film enquiry does not become confused with VHS pricing. Also agree the expected completion date and how the finished recordings will reach you. There is no reason to guess those details from a collection or delivery offer. A clear written order gives both sides the same understanding of what is being transferred.
Choose an output you can actually use
Think about the first viewing and the longer-term copy before placing the order. Ask which digital file formats and delivery options are available, whether your computer or television can play them, and whether the files will suit upload to a private family archive. If you want both easy viewing and a backup copy, explain that aim instead of assuming a particular device or disc is included.
When the transfer arrives, open every file and sample the beginning, middle and end. Check sound as well as picture, and compare the filenames with your tape inventory. Tell the provider about anything unexpected while the order is still fresh. Keep the originals after transfer and make another digital copy on separate storage. Invite a relative to help identify unfamiliar faces or places, recording uncertainty honestly rather than turning a guess into a firm date.
From transferred recordings to a private family timeline
Memrial is a separate private family archive for photos and home videos after conversion. It does not digitise tapes and is not part of Photo Gifts & Digital Services. Its free allowance is 2.0 GB shared across the archive, with no card needed. Check the size of your converted recordings before deciding what to upload first; that allowance is not unlimited.
Timeline accepts exact or approximate dates, helping relatives find memories by year even when a cassette only says something like a summer holiday. Albums, comments and stories can add the names and context that the recording itself leaves out. For a family anniversary, Live Watch Parties synchronise an uploaded home video, with host play, pause and seek controls plus voice and text chat for relatives nearby or far away. Free Watch Parties include 3 hours per month and up to 6 participants.
Event Memories can collect the anniversary's new photos and videos through a secure occasion contribution link. Contributors sign in but do not need archive membership, and their uploads go into the event album. Closing the link keeps the collected memories. That makes it possible to place the older recording alongside the family's present-day responses without losing the occasion's contributions.
