Match the camcorder format before working out the cost
PicSave lists Video8 and Hi8 camcorder tapes at £14.99 per tape, and camcorder MiniDVD discs at £14.99 per disc. These are separate media types, even when the recordings cover the same family occasions. Read the markings on each cassette or disc rather than grouping everything under 'old video'. A quick photograph of an unfamiliar label can make your initial enquiry clearer.
Before agreeing to the work, ask whether recording length affects the quote and whether USB, postage and any applicable tax are included. The quoted per-item figures do not establish those conditions. Keep the photo-scanning budget separate too: PicSave's loose-photo estimator states a £40 minimum scanning order, which should not be treated as a minimum for tape transfer.
MP4 on USB gives the recordings a practical next step
The tape service supplies video as MP4 files, with digitised video delivered on USB because of its larger file size. PicSave also says original tapes are returned after digitising. Those details give you a useful basis for planning: you will receive files to organise and copy, while retaining the physical recordings.
Make a simple inventory before handover, giving each tape a short identifier and noting any handwritten title. Keep uncertain dates uncertain. When the USB arrives, match its files against that inventory and check the beginning, middle and end of each recording for picture, sound and completeness. Try playback on the device your family actually uses. Keep a second copy on separate storage, and retain the original tapes after checking the transfers. These are sensible household checks, rather than additional services promised by PicSave.
A repair enquiry belongs before packing
PicSave says it can repair many damaged or snapped tapes before digitising for £5 per tape. The word 'many' leaves room for a tape to be unsuitable, so describe visible damage first and ask whether assessment is possible. Avoid trying to play a visibly damaged cassette merely to see what is on it.
Additional video editing is advertised from £10, depending on the work required. If you want a shorter viewing copy, explain which sections matter and ask what the quote covers. Requesting a complete transfer alongside an edited version can preserve context. PicSave also explicitly excludes 8mm, 9.5mm and 16mm cine film; film reels need a different enquiry from camcorder tapes.
Photographs can connect the gaps between recordings
For a mixed collection, PicSave describes automated scanning for most standard loose photographs and flatbed scanning for fragile, mounted, unusually shaped or otherwise unsuitable pictures. Its photo service supplies JPEG files as standard, with TIFF available on request. These choices concern photographs and should not be confused with the MP4 video output.
Think about whether an album's arrangement tells part of the story before removing pictures. A birthday photograph might identify a person who appears unnamed in a recording; a caption might provide its year. Ask relatives to help identify people while keeping a note of who supplied each recollection. For delicate albums or photographs, discuss handling with the provider before reorganising anything.
Arrange the handover around the collection
PicSave describes itself as a home-based business, with local drop-off and collection by appointment only. Its tape page also invites customers to send tapes from anywhere in the UK, with no deposit or upfront payment. The general sending instructions recommend a tracked UK delivery service. Arrange a visit beforehand or confirm postal instructions before dispatch.
Ask for a completion estimate for your particular mix of media, especially if you want the files for a family gathering. PicSave's general website says most orders take 4 to 10 working days depending on size and complexity; that is not a guaranteed deadline for an individual tape order.
Let relatives add the story after conversion
Memrial is a separate private family archive for the digital photos and videos after conversion; it does not convert tapes or form part of PicSave's service. Its free plan includes 2.0 GB of shared archive storage, with no card needed. Choose what to upload within that allowance and keep your independent backups.
Timeline uses exact or approximate dates to help you find memories by year. Live Watch Parties synchronise an uploaded home video, with host play, pause and seek controls plus voice and text chat for relatives near or far. The free allowance is 3 hours monthly and up to 6 participants. For an anniversary gathering, Event Memories provides a secure contribution link: people sign in without needing archive membership, their uploads enter the event album, and closing the link retains the memories.
