Different tape generations can belong to one project
Scan5's published format list includes VHS, VHS-C, Mini DV, Hi8, Video8, Digital8, Betamax and S-VHS. It also names Betacam, U-Matic 3/4 inch, DVCAM and DigiBeta, as well as PAL and SECAM formats. That range makes it a relevant place to discuss a collection assembled across different cameras, recording systems or countries.
Before requesting a quote, note the format printed on each cassette and copy its handwritten label into a simple inventory. Give every item a unique number, even when several say only 'birthday.' Ask relatives whether an unfamiliar tape came from a home camera or a professional recording. If the casing is broken, the tape looks moldy or playback has been unreliable, describe the problem and ask about assessment before attempting another playback.
Use the tape price ranges to shape your quote
The published price for video tapes in the VHS, VHS-C, MiniDV and Hi8 category is $15 to $25 each. Professional format tapes, specifically Betacam, DigiBeta, U-Matic and DVCAM, are listed separately at $30 to $50 each. Keep those categories separate when counting your collection; the lower range should not be applied to every format the business accepts.
For a useful estimate, send the inventory and ask what determines your position within the relevant range. Confirm how recording length, blank tapes, optional output files, taxes and any delivery charges affect the total. Those details are not established by the price ranges alone. If you need to divide the work into batches, choose recordings with clear personal value first, while keeping related tapes together.
Decide between everyday viewing and editing files
Scan5 offers .mp4 output and optional ProRes .mov files for tape transfers. Tell the team whether your priority is watching full recordings, sharing selected moments or doing further editing. Ask about the size and specifications of each option, and whether choosing both changes the quote.
For family viewing, consider where people will watch: a phone, a computer or a television. Check that the chosen files work on those devices. For an editing project, establish the requirements of your editing software before ordering. Keep an untouched copy of the returned transfer, then make shorter viewing copies separately. A full recording preserves context that a highlights edit can easily leave out, including conversations before and after the main event.
Arrange the handover and agree on timing
Scan5 describes Chicago office drop-off by appointment, local courier pickup and prepaid UPS shipping. Its courier description refers to delivering items to the business the same day; that is a collection arrangement, not a promise to finish digitization that day. Ask which route is available for your address and how to package the items.
The services page lists a general turnaround of 1 day to 3 weeks, with rush services available. Confirm the schedule for your own collection before planning a screening or gift around it. Photograph your packed inventory and keep a copy of the agreed work. Scan5 states that all original items are returned in the same condition as received, so include checking the returned originals in your project checklist.
Download, check and keep more than one copy
Scan5 describes an initial 30-day period of free cloud storage with an option to extend it. Treat that period as a prompt to download and review your files, and ask when it begins and what an extension costs.
Match the files to your inventory, check sound and picture at several points, and inspect the endings for unexpectedly missing footage. Keep originals after conversion and store digital copies in more than one place. Add descriptive names without guessing dates. A relative may recognize a school uniform or a house that helps establish the year; record uncertainty instead of turning a useful clue into a falsely precise date.
Bring the converted recordings into family life
After conversion, Memrial offers a separate private family archive for digital photos and home videos. It does not convert tapes or form part of Scan5's service. The free plan includes 2.0 GB of storage shared across the archive, with no card needed. Check file sizes before deciding which recordings to upload.
Timeline accepts exact or approximate dates so relatives can find memories by year. Live Watch Parties synchronize an uploaded home video, with host play, pause and seek controls plus voice and text chat for relatives near or far. The free allowance is 3 hours per month with up to 6 participants.
For a family reunion, Event Memories provides a secure occasion contribution link. Contributors sign in but do not need archive membership; their photos and videos collect in the event album. Closing the link keeps the memories. That gives new reunion footage a place alongside the older recordings everyone has been discussing.
