Match the tape to the published format list
Simons Multimedia names VHS, Micro MV, Mini DV, Hi8mm, Video 8mm Cassette and VHS Compact in its video transfer offering. If your collection includes both full-size VHS tapes and smaller camcorder cassettes, record the format printed on each case before making an enquiry. A small cassette is not enough to identify the recording system; a photograph of its label can help explain what you have.
Make a simple inventory with a number for each tape, the handwritten title and any dates you recognise. Keep cases with their tapes, even if the labels seem wrong, and flag recordings whose contents are uncertain. If a cassette has a cracked shell, visible contamination or a history of snagging in a player, describe that condition and ask whether it can be assessed. Avoid trying to repair or repeatedly play an irreplaceable recording yourself.
Decide whether you need MP4, DVD or both
The stated output options are DVD and/or MP4. For someone who wants a disc to play at home, DVD may fit an existing routine. For a family planning to organise recordings on a computer or upload them to a private archive, an MP4 file is the option to discuss. Check the playback requirements of the devices you actually use before choosing.
Ask how the MP4 files would be supplied and whether the quote covers the output you want. Also establish whether recordings will arrive as one file per tape or another arrangement, and whether any requested trimming or splitting is included. These details are useful when a single cassette contains several birthdays, a holiday and a school performance. Agree names that connect each finished file to your inventory.
Arrange the handover before travelling
The published instructions say to call beforehand for front-door drop-off and collection. Simons Multimedia also says customers can drop off and collect seven days a week, subject to availability, including after office hours. Treat that flexibility as something to arrange directly. A call confirming a particular time is more useful than assuming someone will be available when you arrive.
Items are also accepted by post. Before sending originals, confirm the current postal arrangements, return method and any costs with the business. Keep your inventory and contact details with the parcel, and retain a separate copy. For either route, ask for the total VHS transfer price, what it includes and an estimated completion date. The published information does not establish a VHS price or processing turnaround.
Audio and photographs need their own brief
A family collection may extend beyond video. Simons Multimedia also advertises vinyl record and cassette transfers to CD and MP3. Its published audio cassette figure is £15 for both sides, and audio editing is listed at £25 per hour. These are audio figures, so they do not provide a price for transferring a VHS recording.
The photo digitising information lists slide scans at 25p per slide and negative scans at 10p per photo. If you want to combine these with a tape enquiry, describe each type and quantity separately. Ask which charges and tax conditions apply to your order, since those conditions are not established by the quoted figures. This keeps a mixed collection easier to price and check.
Check the transfer, then bring relatives into the archive
When the digital recordings arrive, compare them with your inventory and watch samples from the beginning, middle and end. Check sound, picture and expected content, then raise any questions while the order is still fresh. Keep the original tapes and make a separate backup of the delivered files before organising or editing copies.
Memrial is a separate private family archive for digital memories after conversion. It does not convert physical tapes. Its free plan provides 2.0 GB of storage shared across the archive, with no card needed. Invite relatives to help identify faces or add stories, and use Timeline with exact or approximate dates to find memories by year without pretending every old label is precise.
For a family anniversary, a Live Watch Party can synchronise an uploaded home video for relatives near or far. The host controls play, pause and seek, with voice and text chat alongside the recording. Free Watch Parties allow 3 hours per month and up to 6 participants. Event Memories offers a secure occasion contribution link: contributors sign in without needing archive membership, photos and videos enter the event album, and closing the link keeps the memories.
