Arrange the Cardiff appointment or postal handover first
Appointments are arranged directly with Graham by phone, text or email. The published phone and text hours are 10am to 4pm, Monday to Friday. These are contact hours, so use them to arrange your handover rather than assuming they describe a walk-in counter. Although the business identifies Cardiff as its base, confirm the meeting address when you book.
For tapes coming from outside Cardiff, the website says you may send them by tracked post, and it advertises a UK postal service. Ask for the correct destination and packing instructions before dispatch. Make a simple numbered inventory and photograph the cassette labels so you have a record of what went into the parcel. Keep the tracking details with that list until the return is complete.
A USB delivery still needs a viewing plan
South Wales VHS 2 Digital describes its service as VHS to USB transfer and includes a brand-new USB memory stick. That tells you the delivery medium, but it does not establish the video file type, recording settings or compatibility with your television. Tell Graham where you intend to watch the results and ask which files you will receive.
If the collection contains camcorder cassettes alongside ordinary VHS, list those separately and confirm acceptance. Do the same for recordings made abroad. Ask for a quote based on your actual collection, including any tape-length conditions, postage and other charges, and agree an expected completion date. Point out broken cases, visible mould or tapes that previously jammed; ask whether they can be assessed before assuming transfer or repair is possible.
Use the 14-day backup window to check the recordings
The website states that a secure digital backup is retained for 14 days after return and then permanently deleted. It also describes tracked return delivery. Plan to inspect the results soon after they arrive, while that short backup window is still open, and ask how to report a missing or unreadable recording.
Open every file, check that sound is present and sample the beginning, middle and end. Compare the recordings with your inventory, paying attention to long tapes that may contain several occasions. Copy the files off the USB stick to a second storage location before renaming or editing them. Keep the original cassettes too, and confirm their return arrangements when booking. The provider's temporary backup should not become your family's only fallback.
Let relatives help identify what is on each tape
An old label saying 'summer' might be enough to recognise the recording but not enough to place it in family history. Ask a relative to watch a few clips with you and note names, places and likely dates. Keep uncertain guesses separate from confirmed details, particularly when similar holidays or birthdays appear on several cassettes.
Preserve an untouched copy of each delivered file, then use a working copy for any extracts you choose to make. A simple name combining the tape number, occasion and approximate year can make the collection easier to browse. Record useful timestamps for a speech, a song or a familiar face so relatives can find those moments without searching through an entire recording.
From the returned USB to a private Memrial archive
Memrial is a separate private family archive for digital photos and home videos after conversion. It does not digitise tapes and is not part of South Wales VHS 2 Digital's transfer service. Its free plan provides 2.0 GB of storage shared across the archive, with no card needed. Check your file sizes before choosing what to upload, and keep another backup of the complete collection.
Invite relatives and organise the uploaded memories into albums. Timeline accepts exact or approximate dates, so footage you can only place in an approximate year can still be found by year. Comments and stories let family members add the context that a cassette label never captured.
Live Watch Parties synchronise an uploaded home video, with the host controlling play, pause and seek and relatives joining through voice and text chat, nearby or far away. The free allowance is 3 hours per month with up to 6 participants. For a family reunion, Event Memories provides a secure occasion contribution link. Contributors sign in but do not need archive membership; their photos and videos go into the event album, and closing the link keeps the memories already collected.
