VHS, camcorder tapes and the rest of the collection
Southtree's range extends beyond videotape. It lists 16mm, 8mm and Super8 film, prints, slides and negatives, plus audio cassettes and reel-to-reel recordings. That makes it relevant when a family wants to consider several kinds of analog media together. Keep the categories separate in your inventory, though: a film reel, a photograph and a VHS cassette are different items, and their pricing should not be treated as interchangeable.
Read the markings on each cassette rather than judging by size alone. Record its format, handwritten title and any likely date in a simple list. Southtree also lists PAL to NTSC conversion; if you have recordings made overseas, describe their origin and ask how they will be handled. For cracked shells, loose tape or suspected mold, contact the provider before shipping or trying playback. A supported format does not establish a repair service.
Plan around the box and receipt date
The published process uses a Southtree box and prepaid shipping label, with drop-off at a local UPS location. Its VHS product details state a 4 - 6 week turnaround once Southtree receives the order, along with regular email updates and access to a personal concierge for questions. If the movies are intended for a birthday or reunion, leave room for shipping as well as conversion and your own review of the results.
Each kit covers up to the item count selected. Southtree says it includes extra safety item barcodes and invoices for additional media after receipt. Count everything before choosing a kit, photograph the contents for your records, and keep a copy of your inventory. If relatives are adding tapes, set a collection deadline so their contributions can be included in the count.
Read the tape promotion as a promotion
Southtree's homepage advertises a limited-time 50% off offer with $7.50 tapes, while its VHS product page displays $15. These are published figures with different promotional context, not a guaranteed final quote for every collection. Before ordering, confirm which offer applies, the selected item allowance, output charges, shipping and any taxes. Obtain the total for your actual mix of media rather than multiplying a headline figure across everything you own.
Choose files you can use beyond the first viewing
Southtree's VHS page identifies MP4 digital files. Its main website describes delivery on a thumb drive, in the cloud or on personalized DVDs, and the tape FAQ confirms return of the originals with the digitized home movies. Ask which delivery choices are included in your order and how you retrieve files. A DVD can suit a familiar viewing setup, while accessible digital files are useful for making backups and organizing a family archive.
When the results arrive, compare them against your inventory. Open every file, sample the beginning, middle and end, and listen to the sound. Note missing sections or playback problems before reorganizing anything. Keep an untouched copy of the delivered files, save another copy separately, and retain the original tapes. Add readable filenames only to a working copy, using approximate dates where certainty is missing.
Let relatives add context after conversion
After conversion, Memrial provides a separate private family archive for digital photos and home videos. It does not convert tapes and is not part of Southtree. The free plan includes 2.0 GB of storage shared across the archive, with no card needed. Invite relatives to help identify faces and add comments or stories. Timeline accepts exact or approximate dates, making it easier to find memories by year without pretending an uncertain label is precise.
For a reunion, a Live Watch Party can synchronize an uploaded home video for relatives nearby or far away. The host controls play, pause and seek, with voice and text chat alongside playback. The free allowance is 3 hours per month with up to 6 participants. Event Memories can collect new photos and videos through a secure occasion contribution link: contributors sign in without needing archive membership, uploads enter the event album, and closing the link keeps the memories.
