Match the tape format to the right published rate
The published list gives VHS to DVD at $20.00 per tape. VHS-C to DVD and Betamax to DVD are also listed at $20.00 per tape, while the 8mm, Hi 8 and Digital 8 entry is $20.00 per tape. PAL VHS to DVD is separately priced at $30.00 per tape, as is U-matic, described as 3/4 inch, to DVD. If your collection includes recordings made overseas or larger professional-looking cassettes, mention those when asking for a quote instead of treating every cassette as standard VHS.
Tape2dvd also advertises a camcorder or VHS transfer offer of $12.50 per tape, with a 20-tape minimum to qualify. This is an offer threshold, not evidence that every order requires 20 tapes. Ask whether the offer is available for your collection and chosen output. The published DVD rate should not automatically be applied to MP4 delivery; request an itemized total covering the format, any extra copies, taxes and other charges before handing over the originals.
Choose DVD or an MP4 collection you can organize
Tape2dvd's website says it can move memories to MP4 on an external hard drive supplied by the customer. Ask what drive requirements apply before buying or sending one, and whether DVD and MP4 can be ordered together. A DVD can suit an existing player; files can be easier to copy between your own devices and use in a private family archive. Your choice should reflect how people will watch the recordings after the transfer.
For files, agree on a naming approach that lets you match each result to its cassette. A simple identifier such as Tape A is useful when handwritten labels are vague. Ask whether a long tape will arrive as one file or several, and what file specifications will be provided. None of those details should be assumed from the MP4 label alone.
Arrange the Middle Tennessee handover
The website advertises free pickup and delivery in the Middle Tennessee area and asks customers to call to schedule pickup. Confirm that your location is included and arrange a suitable handover time. Mail orders are also described, with White House given as the shipping destination. Check the current shipping instructions with the business before dispatching a parcel, especially if you are sending irreplaceable recordings.
Prepare a short inventory with a unique number for every cassette, its label and any known recording date. Photograph the labels and keep a copy of the inventory yourself. Flag cracked cases, loose tape or visible contamination, and ask whether the business can assess those problems. Avoid testing a visibly damaged cassette in a player just to discover what is on it. Tape2dvd states that all media is returned; agree how the originals and converted results will come back together.
Check the returned recordings before filing them away
When the files arrive, compare them with your inventory, open every file and sample the beginning, middle and end. Check that sound accompanies the picture where expected, and investigate a missing recording or abrupt ending while the order is still easy to identify. For DVDs, try playback on the equipment the family intends to use.
Keep the original tapes, and make a separate backup of the digital files before reorganizing or uploading them. Invite a relative to help identify unfamiliar faces, places and occasions. Record uncertainty honestly: a summer visit in the early nineties is more useful than a confident but incorrect date. This is practical advice for managing your collection, separate from the provider's transfer terms.
Bring the MP4 memories into a private family archive
After conversion, Memrial provides a separate private family archive for photos and home videos. It does not convert tapes and is not part of Tape2dvd. The free plan includes 2.0 GB of storage shared across the archive, with no card needed. Choose a few recordings first and check their sizes before planning a larger upload.
Timeline accepts exact or approximate dates, helping relatives find memories by year. A Live Watch Party synchronizes an uploaded home video, with the host controlling play, pause and seek while everyone uses voice or text chat. Relatives nearby or far away can join; the free allowance is three hours per month with up to six participants.
For a reunion, Event Memories provides a secure occasion contribution link. Contributors sign in but do not need archive membership, and their photos and videos collect in the event album. Closing the link keeps those memories. An older reunion recording can then sit alongside new contributions, with comments and stories adding the details that the camera never captured.
