One enquiry for VHS and the camcorder years
The accepted tape list covers VHS and S-VHS, VHS-C and S-VHS-C, MiniDV, Video8, Hi8 and Digital8. Those names matter when a collection contains both television recordings and smaller camera tapes. Rather than guessing from the size of a cassette, make a simple inventory using the format printed on its casing.
For each item, note the label, any likely date and whether you know what is recorded. Photograph faded handwritten labels before packing. If a relative remembers which camera the family used, ask them now: that small detail can help identify an unlabelled cassette and later explain the footage. Keep audio cassettes separate in your inventory, since the provider describes those transfers as MP3 audio rather than MP4 video.
The £13 price and the extras to discuss
The published digital transfer price is £13 per tape or media item, across VHS, camcorder tapes, audio cassettes, CDs and DVDs. A USB stick is included, and the website says original media is returned. For budgeting, count the actual items first, then identify anything that might need additional work.
The optional or required extras include £10 per tape for Long Play recordings of 3 hours or more, £10 per affected tape for mould remediation and £10 per repair for a tape repair or splice. Ask which charges apply to your collection before agreeing to the total. A published repair option does not establish that every damaged recording can be recovered. Describe visible mould, a cracked shell or loose tape without trying to play or dismantle it yourself.
Collection in Exeter, or a tracked parcel
Free door-to-door collection and delivery is explicitly limited to Exeter. The website also advertises a secure parcel drop box and accepts Royal Mail Tracked UK-wide. These give you several ways to arrange a transfer, but confirm the collection details or drop-off instructions directly before setting out. A published drop-box option is not a street address or a promise of staffed opening hours.
For a postal order, keep a copy of your inventory, cushion the media so it cannot move about and put contact details inside the parcel. Agree the destination and return arrangements before sending it. The provider states that original tapes and media are returned with the USB and are never outsourced; retain your own item list so you can check the return against it.
Allow time before a birthday or reunion
The website gives a current turnaround of approximately 3-4 weeks and says orders are processed in the order received. Elsewhere it explains that standard turnaround depends on the queue and can often be around 3 weeks or more. Treat those figures as planning guidance and confirm the current estimate when booking.
Priority processing may be available in as little as 24 hours, depending on quantity, with the provider asking customers to explain their deadline before committing. That is a conditional option, not a guaranteed next-day service. For an anniversary screening, leave time after delivery to check the files and choose the right recording. The booking information also states that there is no payment upfront and payment is made when the work is complete.
Make the USB useful beyond the first viewing
VHS transfers are described as MP4 files on USB, with a DVD copy optional. Decide whether your priority is watching on a particular television, copying files to a computer or sharing selected recordings with relatives. Check what your own devices accept before choosing an additional disc.
When the files arrive, sample the beginning, middle and end of each recording and check the sound as well as the picture. Match the files to your inventory before renaming them. Keep an untouched copy of the delivered files, make a separate backup and retain the original media. A descriptive name such as a year, occasion and family surname will be more useful later than a tape number alone.
From transferred recordings to a shared family history
Memrial is a separate private family archive for digital memories after conversion; it does not convert physical tapes. Its free plan includes 2.0 GB of storage shared across the archive, with no card needed. Invite relatives to help identify people and add stories. Timeline accepts exact or approximate dates, so footage remembered only as a summer in the early 1990s can still be found by year.
For a family birthday, a Live Watch Party can synchronise an uploaded home video while the host controls play, pause and seeking. Relatives nearby or far away can join with voice and text chat. Free Watch Parties allow 3 hours per month and up to 6 participants. Event Memories offers a secure occasion contribution link: contributors sign in without needing archive membership, and photos and videos collect in the event album. Closing that link keeps the memories already gathered.
