A tape price list that separates the formats
The digitizing page lists VHS at $13 and VHS-C at $13, MiniDV and Digital8 at $15 each, and Betamax at $30. Its home-movie heading describes one flat price regardless of tape length. These are useful published figures for planning, but ask for the final total, including any taxes, delivery costs or optional work, before handing over a collection.
Keep the format groups separate in your inventory. VHS-C is the compact cassette often found among camcorder recordings; it should not disappear into a general count of larger VHS tapes. Write down each tape label and give it a simple number. If a cassette is unmarked, photograph it and ask for identification instead of guessing from its size.
Bring the related pictures and voices into the decision
Vintage Solutions also lists photos and slides, audio cassettes, micro audio cassettes, vinyl records, audio reels, and 8mm and 16mm film. That creates a useful opportunity to think about an occasion across different media: a birthday might have a tape, printed pictures and a separate recording of someone speaking. You can prioritize one event without committing to every item in the collection.
For photos, the company asks customers to remove them from albums and ensure they are free of tape or glue. It states a $0.25 per photo fee if it handles album removal and residue cleanup. Do not force a fragile photograph free simply to prepare an order. Ask about delicate items first, and record captions from album pages before separating pictures from their context.
Arrange the handoff around the actual production window
The website offers scheduled drop-off and an order pick-up option, and says weekend hours are by appointment only. Confirm the arrangements before traveling, particularly if you are bringing originals on behalf of several relatives. A written inventory with your contact details and tape numbers gives everyone a straightforward record of what changed hands.
The terms estimate 7 to 15 business days for standard digitization, consulting and media processing. The clock starts on the business day after the media has been officially received, cataloged and marked In Progress in the Columbus office. For a reunion or anniversary, allow room for that intake step and for checking the results. Ask about cracked cases, mold or damaged tape before attempting playback or cleaning.
Make MP4 delivery the beginning of your own archive
Vintage Solutions includes access to its Memory Dashboard with every order, using a customer ID and PIN to reach the delivered files. Physical USB drives are a separate option. Ask which delivery route suits your household, then download and check the results rather than treating the delivery dashboard as your only archive.
When files arrive, compare them against your inventory and check the beginning, middle and end of each video, including sound. Keep an untouched copy before making shorter clips or changing filenames. The digitizing page says customers receive 100% of their originals. Retain those originals while you inspect the files, and keep another digital copy on a separate drive.
The current terms distinguish online access from retention. Download links remain active for 3 months after the initial delivery notification. Files then move to offline storage, where retrieval carries a $50.00 fee, before permanent deletion at one year, defined as 365 calendar days from that notification. Download promptly and maintain independent copies; the longer retention period is not a year of continuous online access.
Let relatives supply the dates and the stories
After conversion, Memrial is a separate private family archive for digital memories. It does not convert tapes and is not part of Vintage Solutions. Its free allowance is 2.0 GB shared across the archive, with no card needed. Choose the recordings and photographs you most want relatives to revisit, while keeping your own backup copies.
Timeline accepts exact or approximate dates, so a recording remembered only as a summer in the nineties can still be found by year. Invite relatives to help identify faces and add stories. Live Watch Parties synchronize an uploaded home video, with host play, pause and seek controls plus voice and text chat for people nearby or far away. The free plan includes 3 hours monthly and up to 6 participants.
For a family reunion, Event Memories provides a secure occasion contribution link. Contributors sign in but do not need archive membership; their photos and videos collect in the event album. Closing the link keeps the memories already contributed. It is a practical way to place newly recorded moments beside the older footage that prompted the gathering.
